Mobile mechanic invoice template
An invoice from a mobile mechanic has a job a shop invoice doesn’t: it has to look like a business when there’s no counter, no sign and no printer. This template keeps every line the customer needs to see, from the car to the service call to the payment, in one page you can copy or print.

What makes a mobile mechanic invoice hold up
It matches the estimate. Same lines, same prices, same order. When the invoice equals what the customer approved, there’s nothing to argue about. If something changed, it was approved first and the invoice shows it.
Labor and parts are separate lines. One lump number invites a haggle. Hours times your rate, and each part with its price, shows the customer what they are paying for.
The service call has its own line. Driving to the customer is part of the job. Name it the way you say it, like Mobile service call, and charge the amount you set.
The vehicle is on it. Year, make, model and VIN tie the invoice to the car, which matters when the customer comes back with the same car next year.
Payment is written down. Write how much was paid, how, and when. An invoice marked paid in full, with the date, is the receipt the customer keeps.
The next job is on it. Measurements and test results you found today, written as “recommended next”, come back as work later.
Build it in GarageSolo instead of on paper
- The invoice comes from the job you already wrote up as the estimate, with the same labor, part and fee lines.
- The app adds the subtotal, the tax on the lines you marked taxable, and the total.
- Email the invoice to the customer from the app.
- Record the payment: cash, check or other. Once the job is paid in full, the PDF heading becomes RECEIPT and prints PAID IN FULL with the date.
Record the cash. Once the job is paid in full, it’s a receipt with the date on it. Email it as soon as you have a signal.
Customers with an invoice still unpaid show up under the Owes money filter in your customer list.
You can create the invoice with zero bars at the car. It saves on your phone and syncs when you are back in range. Emailing it needs a signal.
The Free plan has no card and no time limit, with 5 invoices a month. More about the app itself: the mobile mechanic invoice app.
Invoice template questions
What should a mobile mechanic invoice include?
Your business name and contact, the customer, the vehicle with its VIN, the address where the work was done, labor and parts on separate lines, the service call, tax, total, and the payment received.
Can I use this template for free?
Yes. Copy it, print it, change the lines. It’s yours.
Should the invoice show the estimate number?
It helps. It ties the invoice to what the customer approved before you started.
How do I show a partial payment?
Write the amount received and the balance due on the paper template. In GarageSolo you can record a partial payment against the job, and the PDF becomes a RECEIPT once the job is paid in full.
